Lavish Event Production – Photography & Videography Booking Policy
Effective Date: June 1, 2024
Thank you for choosing Lavish Event Production for your photography and videography needs. Our goal is to provide a seamless experience from booking through final delivery. Please review the following policies before reserving your event.
1. Booking & Reservation
A signed service agreement and the required deposit are necessary to secure your event date.
Dates are reserved on a first-come, first-served basis and are not guaranteed until both the signed agreement and deposit have been received.
2. Deposit Policy
A 50% non-refundable deposit is required upon signing any photography or videography service agreement.
The deposit reserves your event date, blocks our production schedule, and covers pre-production planning, consultations, scheduling, and administrative work.
Your booking is not confirmed until the signed agreement and deposit have been received.
3. Final Payment
The remaining balance is due no later than seven (7) calendar days before the scheduled event, unless otherwise stated in writing.
For bookings made within seven days of the event, full payment is due at the time of booking.
Failure to make the final payment by the due date may result in cancellation of services.
4. Payment Methods
We accept:
Credit & Debit Cards
ACH Bank Transfer
Zelle
Cash
Other approved electronic payment methods
Returned payments or chargebacks may result in cancellation of services and additional collection fees where permitted by law.
5. Cancellations
Client cancellations must be submitted in writing.
The 50% booking deposit is non-refundable because your event date has been reserved exclusively for your event.
If cancellation occurs after final payment has been made:
Services already performed are non-refundable.
Any refundable amounts, if applicable, will be determined after deducting completed work, planning time, travel expenses, and any non-recoverable costs.
6. Rescheduling
We understand that plans can change.
Clients may request to reschedule their event.
Rescheduling is subject to photographer/videographer availability.
If we are available on the new requested date, your deposit may be transferred one time without penalty.
Additional rescheduling requests may require a new deposit.
7. Weather Policy
Outdoor sessions may be rescheduled due to unsafe weather conditions including:
Heavy rain
High winds
Natural disasters
Dangerous environmental conditions
Weather-related decisions will be made jointly with the client whenever possible.
8. Client Responsibilities
The client agrees to:
Arrive on time.
Obtain all required permits or venue permissions.
Notify Lavish Event Production of any schedule changes immediately.
Provide a detailed event timeline when requested.
Designate a representative for weddings or large events to assist with coordination if needed.
Lavish Event Production is not responsible for missed moments caused by delays outside of our control.
9. Travel
Travel within our standard service area is included unless otherwise specified.
Events outside our standard coverage area may incur travel, lodging, parking, mileage, or airfare fees.
These costs will be disclosed before booking.
10. Overtime
Coverage beyond the contracted time is subject to photographer/videographer availability.
Overtime is billed at the hourly rate stated in the service agreement.
11. Creative Style
By booking Lavish Event Production, clients acknowledge they have reviewed our portfolio and understand our editing style, shooting approach, and creative direction.
Final editing decisions remain at the discretion of Lavish Event Production.
RAW or unedited files are not included unless specifically stated in the signed agreement.
12. Image & Video Delivery
Typical turnaround times are:
Portrait Sessions: 7–14 business days
Corporate Projects: 7–21 business days
Weddings & Large Events: 4–8 weeks
Delivery timelines may vary depending on project size and season.
Digital galleries are delivered electronically unless otherwise specified.
13. Client Selection
Unless otherwise included in the package, Lavish Event Production selects the best images for editing.
Duplicate images, test shots, missed focus images, and images with closed eyes or technical flaws may be removed at our discretion.
14. Copyright
Lavish Event Production retains the copyright to all photographs and video footage under applicable U.S. copyright law.
Clients receive a personal or commercial usage license as outlined in their service agreement.
Images and videos may not be sold, altered, or submitted for contests without written permission unless expressly authorized.
15. Promotional Use
Unless otherwise agreed in writing, Lavish Event Production reserves the right to use photographs and video clips from completed projects for portfolio, website, social media, marketing, advertising, competitions, and promotional purposes.
Clients requesting complete confidentiality must notify us before signing their agreement.
16. Equipment Failure & Acts Beyond Our Control
While every reasonable precaution is taken, Lavish Event Production is not liable for circumstances beyond our control, including but not limited to:
Equipment malfunction
Venue restrictions
Power outages
Severe weather
Illness
Government restrictions
Natural disasters
Other force majeure events
If an unforeseen emergency prevents coverage, reasonable efforts will be made to secure a qualified replacement or provide an appropriate refund based on services not rendered.
17. Limitation of Liability
Our liability for any claim arising from services provided shall not exceed the total amount paid by the client under the applicable service agreement.
18. Agreement
By signing a service agreement and submitting the required deposit, the client acknowledges they have read, understood, and agree to this Booking Policy.
